Rostering with Reading Assistant in Clever

 

My District uses Clever. How do I get started with Reading Assistant? In this article, we'll cover the setup process for sharing data with Reading Assistant. 

Once your district/school has purchased Reading Assistant, you’ll get a reach out from your CSM for a leader planning meeting. In this meeting they’ll go over your goals, desires, and how to best implement Reading Assistant for your team and students. Important information will also be gathered in this meeting for rostering, such as who your rostering/IT contact is, the schools you will be using, etc. 

 

With this information, your CSM will open a case to request that our rostering team roster your district. If necessary, we’ll meet with you to discuss requirements, questions, and the data being shared. It’s important to share information only with schools and users who need- access to Reading Assistant.

Clever Specific Information

  • Users shared as teachers will have teacher access to Reading Assistant. Users shared as Staff will have School Admin access in Reading Assistant. Users with District Admin access in Clever will have District Admin access in Reading Assistant.

  • If a user is shared as Staff in Clever, they will only have access by default if their title is Principal or School Admin.

  • We are able to add additional staff titles on a customer-by-customer basis. The turnaround time to add a new title is three business days.

 

Once you've received the invite in Clever, follow the steps below to start the sharing process.

Set sharing rules

After you have accepted the invite from Reading Assistant, you will need to set sharing rules. Sharing rules determine the data that each Clever application will have access to.

To set sharing rules, you will first need to select “My Applications” while viewing your Clever Admin Dashboard. It will be in the upper left, with the menu displayed as below:

Then select the Reading Assistant app (you will need to click on the app's actual name). You can then edit sharing rules to provide Reading Assistant with a list of users and classes for rostering. Remember, you'll want to share only Schools, Users, and Classes that need access to Reading Assistant.

NOTE: We suggest selecting the option to share by sections rather than by school or users. Sharing by Attendance, Homeroom, or Reading sections has worked well for other customers. If you have users or groupings that cannot be shared this way, please reference the next section of this guide.

Creating custom data manually

“Data” is the overarching term used to refer to students, teachers, admins, classes, and schools within Clever. For all data types except schools, this can be done manually, one at a time, or through bulk upload. This section will review how to manually create custom data, one record at a time.

Each custom data type can be created from the Custom Data menu, located under the Support Tools dropdown in the Clever Admin Dashboard:

You will then see “Add custom data” in the upper right and be provided with the following options when it is clicked:

NOTE: If you are creating custom data that does not fall under the currently set sharing rules, you must adjust the sharing rule or add one to ensure Reading Assistant is receiving the newly created staff member or class.

Staff (these users will have School Admin access within Clever)

To create a custom staff account, view your Clever District Admin dashboard's Custom Data page (under “Support Tools” on the left-hand side). You will see “Add custom data” in the upper right, and then you need to select “Staff.”

After the required fields have been filled out, you can create the staff member and share the user to Reading Assistant.

When creating a custom staff member, give the user a title of either School Admin or Principal to ensure the new account can be rostered within Reading Assistant.

Classes

To create a custom class, you must view the Custom Data page (under “Support tolls” on the left-hand side) within your Clever District Admin dashboard. You will see “Add custom data” in the upper right, and then you need to select “Sections.”

The custom section creation process will ask you to select which teachers should be associated with the Class, then require you to assign a primary teacher, and finally ask you to choose which students should be included in the class you are creating.

Teachers and Students

If you have situations where teachers need to be shared with Reading Assistant that are not provided in the data we are receiving, you can create custom profiles for these users in Clever as well. The help center articles are located here:

The user cannot view student reports if a teacher is not assigned to a class. If a student is not assigned to a class, the student’s progress will not be included in the reports.

Creating custom data in bulk

Bulk data creation can also result in bulk data removal. Please be cautious when doing so and work with Clever Support if you are unsure about the steps needed.

Each data type other than schools can be uploaded in bulk. In order to do so, a spreadsheet (saved as a CSV following Clever’s required naming conventions) will need to be created for the type that you wish to upload.
